Job Description:

Are you a highly organized and detail-oriented individual looking to provide administrative support to a dynamic team? We have an exciting opportunity for you!

As an administrative assistant, you will be responsible for supporting managers and staff members with various tasks. This includes scheduling meetings, maintaining calendars, and handling incoming communications. You will also assist with document creation and editing, such as reports, memos, and letters.

In addition, you will play a crucial role in maintaining databases, ensuring accurate and up-to-date information. You will handle financial forms and processes, including invoices and expense reports. Travel arrangements, office supplies management, and general office tasks will also be part of your responsibilities.

Furthermore, you will provide exceptional customer service to internal and external clients, acting as a point of contact for their needs. If you have a strong attention to detail and thrive in a fast-paced environment, we want to hear from you!

Responsibilities:

- Provide administrative support to managers and staff members.
- Schedule meetings and appointments, and maintain a calendar of events.
- Create and edit documents, such as reports, memos, and letters.
- Receive and respond to incoming communications, such as phone calls and emails.
- Maintain and update databases, such as contact lists and customer information.
- Prepare and process financial and other forms, such as invoices and expense reports.
- Coordinate travel arrangements, such as making hotel and flight reservations.
- Ensure office supplies are adequately stocked and order new supplies as needed.
- Provide exceptional customer service and support to internal and external clients.
- Perform general office tasks, such as filing, copying, and faxing.
- Support other departments as needed.
- Record financial transactions, such as purchases, sales, and payments, using accounting software.
- Reconcile bank statements and other financial documents.
- Prepare and send invoices to customers.
- Monitor accounts payable and accounts receivable.
- Prepare and file sales and other tax documents.
- Maintain accurate records of financial transactions and ensure compliance with financial regulations.
- Create financial reports, such as balance sheets and income statements.
- Provide administrative support to the accounting department.
- Communicate with clients, vendors, and other stakeholders as needed.
- Assist with payroll.

Skills:

To excel in this role, you should have excellent organizational and time management skills. Strong communication and problem-solving skills are also essential. Proficiency in using MYOB and office software, such as word processing and spreadsheet programs, is a must.

Language:

Proficiency in both English and Mandarin is required for this position. Being able to communicate effectively in both languages will be an asset in your role.
